Madison High School Marching Band Booster Minutes

Session #2 7/7/09

 

Officers Present: Pres.: Ken Lillie, Tres.:  Sherry Deckrow, Sec.:  Dominica Marchese

Color Guard Directors: Ted and Laura Pless

Members at large: Amber Boone, Kathryn Boone, Cheryl Huff

 

Meeting called to order at 19:00.

 

Old Business:

 

Fundraiser Saturday 7/11 (this Saturday)

        Color guard Pancake Breakfast 7:30-10:30 Beech Glen Community Center

         Booster Yard Sale 7:30noon Beech Glen Community Center

 

Fundraiser Saturday 7/18

         Booster Bake Sale/Fudge Sale Wal-Mart in Weaverville 9am1pm

         Booster Car Wash/Boot Drive Hardees in Mars Hill 9am -1pm

ALL VOLUNTEERS NEEDED- THIS IS FOR OUR CHILDREN

 

New Business:

 

Kyle Hensley- Items to be presented and discussed by Ken Lillie as proxy

 

  • T-shirt and registration money due the latest July 22. 

After we have enough money to pay the coaches then we can move on to the T-shirts.  Marching band members (kids) that

do not pay for band camp will not receive a t-shirt.  Please fill out T-shirt band registration forms. Additional T-shirts will cost $10 each.

  • Students may work for Booster Members, Grandparents, etc. for money. Odd jobs I.E. Babysitting, yard work
  • Kyle has not heard nothing about having concessions at the JV football games.  Still waiting on confirmation but to my knowledge we

have the upper stand for Varsity.  Have Kyle approach Athletic Booster to work together @ concession example- send 20 hamburgers

to the upper stand and we keep $1 a burger.

  • Find out if we can use the School Cafeteria to cook hot dogs
  • Reminder that we need $200 plus drive and gas fees for festivals. Field liner: Ken Lillie can borrow one from college. 

Spot cubes@ $17.95 for 100 these needed by July 27.

  • Found out as of yesterday that Kyle is the band director for this coming school year per Dr. Wilcox.
  • Still leaving the band room open for yard sale drop offs between 8am -3:30pm.
  • Additional keys for the shed will be needed to be made.
  • The marching band keyboard has died!  Looking for a cheaper one costs are approx. $200-350 to replace.  Ken and Dominica states

that they each have one and will bring them in for Kyle to look at.

  • Kyle will have an estimate on props and the stadium band stand in the coming weeks. Members would like Kyle to find out more

information about whom and what plans are being used. Also, schedule a meeting with Kyle, Ken, Ted and school rep. to discuss the

band stand.

  • Known outstanding expenses: $100 to guard for 13th uniform, $900 for 2 sets of flags, T-shirts, Fees and gas, and Coaches.

Nature of the beast, that the start up for Color Guard is a continually cost for uniforms and flags to change in a timely manner. 

Color Guard is doing additional fundraising above what Band Boosters are doing for hopes of raising monies for warm ups, gloves,

winter guard floor.

Also, with ALL 3 arms (Boosters, Color Guard, Intrumentalists) of Marching Band raising monies this would project that we would make

our budget. 

ONLY IF:  ALL Families of the Band members help FUNRASING ACTIVITIES, including working the football concession stand.

 

  • 2009-10 Chance Raffle

1)      White Water Rafting tickets

2)      Donation from Lowes (Becky will check on) when she gets back July 18 from vacation

3)      Donation form Jane’s RX (Becky)

4)      Oil changes from Metco (Ted)

5)      Papa Nicks (Becky)

6)      Some band members parent mentioned about photography shoots ( if you will contact Ken, Sherry, and or Ted) the Band Boosters would

like to arrange something

 

Sherry  Deckrow will be the main contact for the raffle baskets.
